Who we are and what this policy covers
HF Environmental is the data controller for the personal information collected through this website. We are committed to protecting the information you share with us and to being clear about how we use it.
This policy explains what information we collect when you use our website, why we collect it, how long we keep it and the rights you have over it. It applies to this website only. Where we process personal information in the course of delivering our consultancy and land management services, that processing is governed by our engagement terms with the relevant client.

The information we collect and why
We collect personal information in two situations: when you contact us through the website, and in the limited technical information the website needs to operate.
When you contact us
If you use the enquiry form on our contact page, we ask for your first name, last name and email address so that we can respond to you. You can also give us a phone number if you would prefer we call, and use the notes field to tell us about your enquiry. The notes field is free text, so please share only what you need to for us to help; you do not need to include details of third parties or sensitive matters at this stage.
We use this information to respond to your enquiry, to understand whether and how we can help, and to keep a record of our correspondence. Our lawful basis is our legitimate interest in responding to people who contact us about our services. Where an enquiry leads to an engagement, we will rely on the contract with you or your organisation from that point.
We will not add you to a mailing list or send you marketing because you have made an enquiry. If we would like to keep you updated about our work, we will ask you separately and you can say no.
Technical information
Our website hosting platform records limited technical information, such as your IP address, browser type and the pages requested, in server logs. This is used only to keep the website secure and running properly and is not used to identify or profile you. Details of the cookies the website uses are in the Cookie Notice below.
Information we do not collect
We do not use analytics or advertising tools on this website and we do not track your movement around the site. The link to our LinkedIn page is a plain link: clicking it takes you to LinkedIn, where LinkedIn’s own privacy policy applies. We do not receive any information about who has clicked it.
How long we keep your information
We keep personal information only for as long as we need it for the purpose we collected it.

Who we share your information with
We do not sell or rent your personal information to anyone, and we do not share it for marketing.
We use a small number of service providers to run our business, and they may process your information on our behalf and on our instructions. These are:
- Kinsta, which hosts this website and processes enquiry form submissions
- Microsoft, whose Microsoft 365 services we use for email, file storage and internal collaboration
Each provider is bound by a contract that requires them to protect your information and use it only as we direct. Where a provider stores information outside the United Kingdom, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or the provider’s location in a country the UK recognises as offering adequate protection.
We may also share information where the law requires us to, for example with a regulator or a court, or with our professional advisers where necessary to protect our legal rights.
How we keep your information secure
We hold your information on secure, access-controlled systems and limit access to the people who need it to do their work. Information sent through our enquiry form is encrypted in transit. No system is entirely secure, so if you have concerns about sharing something particularly sensitive through the website, contact us by phone instead.
Your rights
You have rights over the personal information we hold about you. You can ask us to:
- tell you what information we hold about you and give you a copy of it
- correct information that is inaccurate or incomplete
- delete your information, where we no longer have a good reason to keep it
- stop or restrict how we use your information
- stop processing based on legitimate interests, including the publication of a record in our covenants register that identifies you
- give you your information in a portable format, where we hold it on the basis of consent or a contract
To exercise any of these rights, email contact@hfenvironmental.com or write to us at the address above. We will respond within one month. We may ask you to confirm your identity before we act on a request. There is no charge unless a request is clearly unfounded or excessive.
These rights are not absolute and there are circumstances in which we may need to keep or continue using information, for example to meet a legal obligation. Where that applies we will explain why.
Complaints
If you are unhappy with how we have handled your information, please tell us first so that we can try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

This website contains links to other websites, including our LinkedIn page and external sources referenced in our covenants register. We are not responsible for the privacy practices of those websites and encourage you to read their privacy policies.
